Duties of Chapter Program Directors

Job Duties of Officer and Board Member Positions

Career Services Director
bulletMaintain files of current resumes of chapter members that want to be listed.
bulletHave each person fill out a form indicating which IIE "skill codes" they want their resume listed in.
bulletProvide potential employers with resumes on file.
bulletReview all resumes after six months to see if still active.
bulletEncourage chapter members to have their parent companies advertise IE related openings in the newsletter (a brief article).
bulletContact selected companies to make them aware of Career Services' existence.
bulletDisplay career oriented "white papers" (written by chapter members and other sources) at chapter meetings.

Community Affairs Director
bulletEncourage and coordinate the chapter's involvement in Community Affairs.
bulletWrite up planned Community Affairs events for the chapter newsletter.
bulletMaintain all required records and correspondence on the Community Affair events.
bulletPrepare the Community Affairs, annual National contest submittal.

Membership Director
bulletMaintain membership database on a regular basis.
bulletMaintain a back-up file of the membership database.
bulletSolicit revisions to mailing addresses and phone numbers.
bulletAdd new members received from National in a timely manner.
bulletMake additions and revisions to membership database as advised by other chapter officers and board members.
bulletPrint address labels monthly and send to U.W. I.E. students in time for monthly newsletter preparation and mailing.
bulletProvide Board members (and any volunteers) with "phone tree" lists that are arranged by geographic area (zip codes), for periodic direct-phone campaigns to members prior to chapter events.
bulletProvide historical membership figures to the Activity Report Focal for the annual Activity Report contest submittal to IIE National.
bulletPublish a chapter membership directory, annually and distribute to all dues paying members.
bulletEnsure that membership database is safely transferred to the new Membership Database Focal.
bulletSend out a new chapter member packet which includes: welcome letter, free meal ticket (good at next two dinner meetings), current chapter newsletter, general facts about the chapter, list of chapter officers & board members, map to board meetings, current membership directory, and chapter survey form.
bulletPrepare an ongoing "Welcome to New Members" note for each chapter newsletter.
bulletSend out IIE membership information (invitation letter, IIE brochure and application form, current newsletter, and any requested information) to anyone inquiring about IIE membership or the local chapter.
bulletPhone or send a follow-up letter to former chapter members that have recently been dropped by IIE National, trying to get them to consider renewing their membership.

Mentor Program Director
bulletCoordinate with the Student Chapter, matching up "mentors" - practicing IE's from the Senior Chapter that spend 1/2 or one full work day showing a University of Washington IE student their job responsibilities and work site.
bulletPrepare written instructions to guide the mentor activities and give these to all participants.
bulletAttend Student Chapter's Mentor Night, representing the Senior Chapter.
bulletWrite articles for the Senior Chapter advertising the Mentor program.

Newsletter Editor
bulletSolicit and receive articles written by Chapter Officers, Board members, and chapter members.
bulletAnnounce the article deadline in advance.
bulletOrganize the articles, edit them and prepare a draft copy of the chapter newsletter for review by a Board member.
bulletMail a finished original newsletter to Anderson Consulting for copying. Notify contact at Anderson Consulting and Newsletter Coordinator.
bulletGive priority to announcing scheduled chapter events.
bulletMaintain the layout standards suggested by IIE's Newsletter Competition guidelines (see separate IIE publication) and the chapter's general and specific content plans (see separate document).
bulletBenchmark against selected other IIE chapter newsletters that are received monthly.
bulletEncourage and implement improvements to the newsletter quality and content, as necessary.
bulletPrepare the annual Newsletter Contest submittal and send it into National prior to the deadline.

Professional Development Director
bulletWrite articles for the chapter newsletter encouraging chapter members to take the Engineer In Training (EIT) and Professional Engineer (P.E.) exams.
bulletKeep informed about available classes (national and local) and study materials related to the EIT and P.E. exams.
bulletAnnounce any specific dates and locations for related activities sponsored by the Washington State Professional Engineers Association.

Program Director (Position usually held by President-Elect.)
bulletCoordinate speakers and tours, help plan all chapter events.
bulletSolicit program suggestions from chapter members, Officers and Board members.
bulletWork with the World Class Manufacturing interest group tour organizer to conduct several WCM tours per year.
bulletPublicize all chapter events in the chapter newsletter, Boeing News, local papers, etc. as necessary. Two months notice is recommended.
bulletUtilize the Meeting Checklist (see separate document) to ensure meeting activities are carried out. Arrange hotel or meeting facilities and sign necessary contracts.
bulletPay bill with chapter check, following the event (advise Treasurer of check requirement and provide receipts).
bulletArrange for a sign-up sheet and money taker (with preprinted receipts) is stationed at the room entrance.
bulletProvide blank name tags and marking pens.
bulletSend a copy of the sign-up sheet to the Chapter Activity Report Focal.
bulletSet up a display table with current IIE chapter and IIE National information and handouts.
bulletSee that all speakers and tour guides are introduced.
bulletEnsure that we go around the room at the beginning of all events to get name, company, and board position (if applicable) of all attendees.
bulletUtilize the Tour Checklist (see separate document) to ensure tour activities are carried out. Ensure that thank you letters are written to all presenters and tour guides.
bulletEnsure that survey forms (see separate documents) are filled out by all attendees at the conclusion of all scheduled meetings and tours. Ensure that survey forms are summarized and results are reviewed with chapter officers & board members.
bulletUtilize survey results to improve future programs.
bulletEnsure that chapter gifts (IIE coffee mugs, etc.) are available and presented to all speakers and tour guides following at the conclusion of the event.
bulletHave event coordinator write a thank you letter (on chapter stationery) to all speakers and tour guides.
bulletTurn over suggested program topics to next Program Director.
